Add a new CMS user
To ensure a smooth experience in managing your website's content, it's a great idea to set up a unique CMS account for each person who will be working with Craft CMS. Sharing login details might seem like a shortcut, but it's not the safest option and could make it tricky to keep tabs on everyone's changes.
The good news is, adding a new CMS user is a breeze – it's both easy and fast!
Requirements
- Make sure you have access to the CMS.
- Double-check that you can find the "Users" section on the sidebar of the CMS.
👀 If you can't spot the "Users" section, just give your CMS manager a shout-out, or contact support-bru@basedesign.com. Ask them to grant you the "Edit users" and "Register users" permissions. They've got your back!
Step by step
- Find your way to the "Users" section on the CMS sidebar and give it a click.
- Spot the "New user" button at the top-right corner? Go ahead and click it to kick off the user creation process.
- Input the new user's email address. If you like, throw in their first and last names too.
- Keep things smooth by checking the "Send an activation email now" box – it's the key to a hassle-free onboarding.
- Shift over to the "Permissions" tab to set the stage for access rights.
- Make life easy by slotting the user into an existing "User Group" with preset permissions. Choose between "Managers" and "Editors.":
- "Managers" have the power to edit all content types and manage users.
- "Editors" can edit all content types but nothing more.
- Alternatively, you can also define permissions manually within the "Permissions" section. It takes more time and is a bit more complex to master, but feel free to use it if you know what you are doing.
- When you're ready, hit "Save".
Your new user gets a special invite via email to join the CMS. The link inside lets them set a password, but remember, it's a one-day-only affair, valid for the next 12 hours.
And there you have it – a new user seamlessly integrated into your CMS environment.
Troubleshooting
If the link in the activation email returns an error, it's likely that the invite has expired. Activation links are valid for 12 hours. To resolve this:
- Visit the user's edit page in the CMS.
- Click on the settings icon located on the right-hand side.
- Utilize the "Send password reset email" option.
The user will receive a new email containing a fresh link, valid for the next 12 hours. This should allow them to successfully activate their account.
If the user is experiencing difficulties accessing the CMS login screen despite setting a password, follow these steps:
- Confirm that the user is using the correct CMS login URL, which should end with
/admin
. Ensure they are using the same URL you use to access the CMS. - Double-check that you have provided the user with the correct permissions. It's recommended to assign permissions through a "User Group" for simplicity.
- If you did not use a "User Group" and set permissions manually, ensure that the "Access the control panel" box is checked in the user's settings. This is crucial for enabling access to the CMS.
By verifying these details, the user should be able to successfully access the CMS login screen with the provided credentials.
