Edit an existing CMS user

Managing user details and permissions to ensure a seamlessly tailored experience for each member of your content management team is important. So, let's dive into the world of refining CMS accounts – a task made just as effortless as creating them!

Requirements

  • Make sure you have access to the CMS.
  • Double-check that you can find the "Users" section on the sidebar of the CMS.

👀 If you can't spot the "Users" section, just give your CMS manager a shout-out, or contact support-bru@basedesign.com. Ask them to grant you the "Edit users" and "Register users" permissions. They've got your back!

Step by step

  1. Find your way to the "Users" section on the CMS sidebar and give it a click.
  2. Identify the user you wish to update by clicking on their name or email address.

  1. If necessary, change the user's email address. Note that the new email address will also serve as their new username during login.
  2. Access more options by clicking on the settings icon.
  3. Initiate a password reset for the user by clicking on "Send password reset email." The link provided in the email allows them to set a new password within a 12-hour window.
  4. For account management, consider using "Suspend" instead of "Delete..." to disable the user's account. Deleting a user also removes the content they contributed or edited in the CMS, which is dangerous.
  5. Head to the "Permissions" tab to configure access rights.

  1. Adjust the "User Group" affiliation if necessary.
  2. Alternatively, manually define permissions within the "Permissions" section for a more customized approach. This method requires more time and a deeper understanding but offers greater flexibility.

Once you've made the necessary adjustments, hit the "Save" button to apply the changes.

Troubleshooting

If the link in the activation email returns an error, it's likely that the invite has expired. Activation links are valid for 12 hours. To resolve this:

  1. Visit the user's edit page in the CMS.
  2. Click on the settings icon located on the right-hand side.
  3. Utilize the "Send password reset email" option.

The user will receive a new email containing a fresh link, valid for the next 12 hours. This should allow them to successfully activate their account.
